Responsible entity and scope
This policy describes data processing related to the website, commercial inquiries and editorial services provided by Libri Suite EAS. Rules for the system access pilot remain identified in their own documents. Customers who provide authors’ or third parties’ data must have the necessary basis and authorization to do so.
Data processed
We may process names, organizations, identification and contact details; information required for quotations, contracts, invoicing and payments; editorial files, metadata, project instructions and communications; and technical access and security records. Works may contain third-party personal data. Please do not send personal data that is unnecessary for the service.
Purposes and grounds
Data is used to respond to requests, prepare quotations, perform and deliver the service, communicate approvals and corrections, administer contracts and payments, protect systems and rights, and meet applicable obligations. The grounds depend on the purpose and relevant law, including steps requested by the data subject, contract performance, legal obligations and the protection of legitimate interests, where applicable. Where consent is required, it must be requested for the corresponding purpose.
Providers and international processing
Operations use infrastructure, storage, authentication, communications, payment and artificial intelligence providers. Depending on the feature used, processing may occur outside the customer’s country, including in the United States. Data and content excerpts necessary for the task may be sent to providers involved in performing it. Information about providers used in a particular project may be requested through the privacy contact. Sending confidential material should take into account the terms agreed for the project and the services used.
Retention and security
Data is retained for the period necessary for the stated purposes, performance and documentation of the contract, security and applicable legal obligations. Deletion may be subject to justified retention and backup cycles. Deletion requests will be assessed according to the nature of the data and existing obligations. We do not promise instant deletion of all copies or the complete absence of security risks.
Rights and contact
Depending on applicable law, data subjects may request information, access, correction, portability, objection, withdrawal of consent or deletion, and explanations about sharing. The requester’s identity may be verified to prevent unauthorized access. The privacy contact appears in the company identification. Rights to seek assistance from competent authorities are preserved.
Payments and updates
When payment is made through an external provider, data supplied directly to that provider is also subject to its privacy documents. Do not email full card numbers, passwords or unnecessary personal documents. Material changes to this policy will be identified by version and communicated when required; they will not be treated as retroactive consent for new purposes.
